Office Access and Usage Policy

1. Purpose

This policy outlines the expectations and procedures for employees and authorized visitors when accessing and using company office spaces. Its purpose is to ensure a safe, secure, and productive working environment for all.

2. Scope

This policy applies to all employees, contractors, and approved visitors accessing any company office location.

3. Office Access

3.1 Authorized Access

Access to office facilities is limited to active employees, approved contractors, and registered visitors with prior authorization. All individuals must use assigned credentials to enter the premises and must not share access.

3.2 Visitor Access

Visitors may only access the office accompanied by their host Dispel employee at all times unless otherwise authorized.

The host Dispel employee is responsible for their visitor’s conduct and compliance with this policy and must ensure appropriate oversight of visitors while on-site.

3.3 Hours of Access

Full-time employees are permitted 24/7 access to the building and office space.

Visitors are allowed to access with host Dispel employee during the working hours of 9:30 am – 5:30 pm EST.

4. Office Use Guidelines

Employees are expected to maintain a clean, organized, and respectful work environment by properly using shared spaces, returning all furniture and equipment to their original condition, and following any applicable booking procedures. All individuals must adhere to health and safety guidelines, promptly report hazards or incidents, and comply with company and building emergency protocols.

Security and confidentiality must be upheld at all times by preventing unauthorized access, safeguarding sensitive materials, securing devices when unattended, and avoiding discussion of confidential information in public areas.

Office spaces and resources are to be used solely for legitimate business purposes, with any damage reported promptly and no property removed without authorization. Employees working in a hybrid capacity must follow hot desk practices, avoid leaving personal items overnight unless permitted, and ensure shared spaces remain available for others.

5. Security & Building Access

5.1 Master Key Policy

Master keys are issued solely to authorized personnel and must never be duplicated, shared, or transferred. Any loss or suspected misuse must be reported to the People Team immediately.

5.2 Intercom & Entry

Employees must not grant building access to any individual they do not personally recognize, regardless of claimed affiliation. All visitors must be verified through the intercom system and signed in upon arrival.

6. Facilities & Equipment

6.1 Equipment Use

Company equipment must be used responsibly and in accordance with internal IT and Security policies. Damaged or malfunctioning equipment must be reported promptly. Company property may not be removed from the office without authorization.

6.2 Appliances

Appliances in Dispel’s office suite are open to responsible use. Limited shared facilities may be available on the 6th floor.

7. Parking

Parking options include street parking and an indoor parking facility located on India Street. No reserved tenant parking is provided.

8. Shared Spaces & Amenities

8.1 Bathrooms

Bathrooms are located on the 5th floor for use with authorized access.

A gender-neutral bathroom is available in the 6th floor reception area. The access code is 1970.

8.2 Lactation Accommodation

The building does not provide a dedicated lactation room. Alternatively, the single bathroom in the 6th floor reception area may be used if needed.

9. Deliveries & Food Access

Deliveries are managed through the intercom system. Employees should ensure that delivery personnel can contact the office via the configured intercom line for access. Staff familiar with the building are expected to follow standard entry practices.

10. Emergency Procedures

Emergency exit maps and procedures will be provided by building management. These should be clearly displayed within the office. All employees and guests must familiarize themselves with evacuation routes and comply with emergency instructions.

Compliance

Failure to comply with this policy may result in revocation of office access and/or disciplinary action in accordance with company policies.
